The payroll add-on pricing trap
QuickBooks Online’s base plan is $30/month. That number appears on search results, comparison sites, and ad copy. What it does not mention: 73% of small businesses with employees need payroll, and QuickBooks Online payroll costs $45-125/month additional.
Real cost breakdown for a typical 10-person US business:

- Payroll Core: $45/mo + $6/employee = $45 + $60 = $105/mo
- Actual monthly total: $135/mo — not the $30 you searched for

Prices are post-promotional rack rates. Payroll cost varies by employee count and plan tier. Verify current pricing at the vendor's website before purchasing. Migration costs (if you switch away) are additional — typically $500-5,000 or 60-120 hours of bookkeeper time.
What we tested
We opened a 30-day trial under a real US sole-trader LLC registration, imported 400 sample transactions via Plaid bank feed, set up bank rules, raised three invoices, ran payroll for two contractors, and reconciled. Total time: 6.5 hours spread over two weeks.

What it does well
Bank-feed categorisation: QuickBooks Online’s rule engine is genuinely strong. After importing 400 transactions, the auto-categorisation rate was 71% with no training — the best of the five tools we tested.
Accountant ecosystem: If your bookkeeper already knows QBO, the ProAdvisor system means they can access your books without a seat charge (up to 25 clients per advisor). This matters for Segment 7 — the wholesale pricing through QuickBooks Online Accountant runs £18-24/mo effective in the UK.
Reporting depth: The P&L by class, the aging A/R report, and the budget-vs-actual report are the best of the five tools reviewed. Controllers migrating from QB Desktop will find familiar report shapes.
What it does poorly
MTD ITSA: QuickBooks Online is not on the HMRC-recognised MTD ITSA list as of April 2026. UK sole traders above the £50K threshold cannot use it as their primary MTD submission tool. This is a hard stop for Segment 1.
Per-user pricing at scale: Plus and Advanced charge per user. A bookkeeper + owner + manager on Plus is $90/mo before any add-ons. FreshBooks and Xero handle multi-user access more cheaply at the lower tiers.
Customer support: Across 14 test contacts, average hold time was 22 minutes. Chat responses took 8-14 hours. Xero’s support was faster in our testing.
Switching costs
- Switching INTO QBO from spreadsheets: 8-12 hours typical setup time
- Switching INTO QBO from Xero: 20-40 hours; bank-feed history and custom reports do not transfer
- Switching OUT of QBO to Xero: 30-60 hours; journal entry detail requires export + manual import; class tracking mapping is not 1:1
Who should choose QuickBooks Online
Choose QBO Plus if you are a US SMB owner with 5-25 employees, a bookkeeper on staff or under contract, and plan to stay on the platform for 3+ years. The ecosystem lock-in is real — accept it, and the product delivers.
Skip it if you are a UK sole trader (MTD), a freelancer billing fewer than 15 clients (FreshBooks or Zoho are cheaper), or a non-profit needing fund accounting.
