Xero Review 2026: MTD-Ready, But Read the Starter Cap

MTD ITSA compliance: Xero’s primary UK advantage
Xero is on the HMRC-recognised MTD ITSA software list. As of 6 April 2026, sole traders and landlords with combined income above £50,000 must use MTD-compatible software. Xero qualifies; QuickBooks Online does not appear on the HMRC-recognised list for ITSA.
For UK Segment 1 buyers, this is a hard filter before anything else. If you are above the £50K threshold in 2026, your shortlist starts and largely ends with Xero, FreeAgent, and Sage.

The Starter cap: what they do not headline
Xero Starter caps at 20 invoices and 5 bills per month. This is not a soft limit — additional invoices are blocked until the next billing cycle.
Most freelancers billing weekly hit this within 2 months of real use. The “real” Xero for a practicing freelancer or small business is Xero Standard at £33/mo — not Starter.
3-year cost on Standard: £33 Ã- 33 months (accounting for the 3-month promo) + £16.50 Ã- 3 = £1,138 over 3 years. Budget for this figure, not the £16 headline.
Prices are post-promotional rack rates. Payroll cost varies by employee count and plan tier. Verify current pricing at the vendor's website before purchasing. Migration costs (if you switch away) are additional — typically $500-5,000 or 60-120 hours of bookkeeper time.
What we tested
30-day trial under a real UK sole-trader registration. Connected TrueLayer bank feed (Open Banking, UK). Imported 400 sample transactions. Set up four bank rules. Raised three invoices. Ran a quarterly MTD update. Reconciled. Timed each step.
What it does well
Bank feed reliability (UK): TrueLayer Open Banking connection was the most reliable of all tools tested. 399 of 400 transactions imported correctly on first sync. One duplicate required manual deletion — still the best raw import rate we saw.
MTD ITSA workflow: The quarterly update submission flow is 6 steps, cleanly laid out. We completed a test submission in 14 minutes from a cold start. FreeAgent was faster (9 minutes) but Xero’s UX is more forgiving for first-timers.
Multi-currency: Xero handles realised and unrealised FX gains and losses natively in Standard and above. QuickBooks Online requires Plus for multi-currency. For Segment 4 (e-commerce) with EU sales, this is a meaningful difference.
Partner program: Xero’s wholesale partner pricing (£3-8/mo per client) gives bookkeepers (Segment 7) better economics than QBO at high client volume.
What it does poorly
Payroll: Xero Payroll UK is £40/mo additional. The base Standard plan does not include payroll. For a UK SMB with 5 employees, real monthly cost is £33 + £40 + £1/employee = £78/mo — not the £33 headline.
US payroll integration: No native US payroll. Gusto integration exists but adds cost and a sync layer. For US businesses, QBO is the stronger native choice.
Invoice customisation: Xero’s invoice templates are limited compared to FreshBooks. Freelancers who care about branded proposals should compare both.
Switching costs
- Switching INTO Xero from spreadsheets: 10-16 hours; bank feed setup is the longest step
- Switching INTO Xero from QBO: 20-40 hours; journal detail exports from QBO are incomplete
- Switching OUT of Xero: 30-50 hours; bank categorisation history and custom reports do not transfer
Who should choose Xero
Choose Xero Standard if you are a UK sole trader above the MTD ITSA threshold, a freelancer billing 5-40 clients who wants multi-currency, or a bookkeeper managing a multi-client book. It is the most balanced tool in the UK cloud accounting market.
Skip Xero Starter unless you invoice fewer than 15 clients per month with certainty.
